Meeting Notes
February 23, 2006

1. The meeting was called to order at 7:34pm at Kehrs Mill Elementary School. Present were trustees:
Meredith McMindes, Michael Olszewski, and Mark Stolzenburg. Also present were homeowners Gary and Mary Murray.
   
2. The Murrays brought in a letter to the board concerning erosion in the common ground behind their home. They reported that they had contacted the City of Chesterfield engineering department and were told that as the erosion is on subdivision property, the city would not address the issue. Mark will call the City and speak with the engineer to clarify his position. Mark explained to the Murrays that we are currently working with our legal counsel on erosion. Mark will talk to Mark Dunn and the Board will get back to the Murrays in 30 days (by March 23rd).
   
3. The Board discussed eliminating the title of “President” as a board position. Although the indenture states that the Board will appoint a president, the current members of the Board feel that the Board runs most efficiently without that position at this time. The Board members each have duties that they perform on the Board and will be responsible for issues that fall under those categories. They are: Linda-- Finances, Meredith-- correspondence, Michael--all matters concerning grounds, and Mark--all HIAs and the Board’s liason with Mark Dunn, our lawyer.

Michael will call Mike Martin and schedule cuts for spring/summer to fit our contract.

   
5. Linda will contact City & Village and approve litigation against the homeowners who have outstanding assessments over $500. She will also send updated trustee information.
   
6. Mark went over his new form “Issues Report” with Michael. It was agreed to put this form on the website and to start using it to document all complaints or issues that come from homeowners. It provides an area for the homeowner to explain how they tried to resolve an issue, and an area for the Board to make comments on actions taken. Mark also wrote a “Mission Statement” for the Board. It will be sent out with the April newsletter and also put on the website.
   
7. Mark would like to discuss the HIA at the next meeting. He feels there needs to be further revision to make the process easier for the homeowner to use.

9. The meeting was adjourned at 9:00pm. The next scheduled meeting will be on April 27, 2006, 7:30pm at Kehrs Mill Elementary School. If there is need for an informal meeting in March, one will be scheduled.
